Volunteer Role: Race Bag Assembly Team

Volunteer Assignment Time: Thursday, 6:00PM-8:00PM.

Description of Volunteer Role:

• Many hands make for light work and lots of fun!
• You will be helping to assemble race bags . These come pre-packed with race shirts. We will be adding samples and other literature to the bags.
• Additional jobs at Race Bag Assembly include:

  • General tidying-up of the assembly area;

Volunteer Role: Runner Check In Attendant (Friday)

Volunteer Assignment Time: Friday, 2:15PM-7:15PM. (It's okay if you cannot work the entire shift.)

Description of Volunteer Role:

• You will be helping to check in runners and distribute their race materials, including bib numbers and race bags w/shirt.
• Each participant must pick up their own bib number in person w/photo ID. In person means in person. No FaceTime, Zoom, or any other video chat. No exceptions. (Youth participants w/o photo ID may pick-up if accompanied by a parent/guardian.)
  • If a participant insists on picking up a friend's race bag, DO NOT give them the bib number. Instead, remove the shirt stub from the bottom of the bib, and give them that so they may pick-up their friend's race bag. (Then, re-file the bib number back in the bib box.)
• Runners will tell you their bib number, which was emailed to them, and show their photo ID to pick up their items. Bib numbers are filed in chronological order and shirt sizes are printed on the bottom right stub. These stubs should be removed and collected. (Shirts sizes are reserved in advance, NO IMMEDIATE EXCHANGES. Instead, runners may swap shirts with each other, or, they may return to the expo on Saturday at 3PM to exchange their unworn shirt with remaining stock.)
• If a runner needs to correct an error in their personal data (age/gender/etc) please record the change on the "DATA CHANGE FORM". (Participant data must be correct for accurate race results.)
• All participants must be pre-registered. There is no in-person race weekend registration available. The deadline to defer to next year or transfer an existing registration to a new runner has passed.
• General registration is at capacity for all events. The only way to switch to the Marathon or the Half Marathon is with a Charity Bib, which requires a $250 fundraising minimum, which must be completed to pick up race materials. (See Marsha or Mary for more assistance.)
• Additional jobs at the Pre-Race Expo include:
  • Helping to setup check in;

• You will be helping to set up and manage the Marathon and Relay start area in Bar Harbor.
• Start Area jobs include:
  • Late bib pick up;
  • Directing runners to restrooms, baggage check, buses, etc.;
  • Loading Half-Marathon buses;
  • Answering questions (please review the Race Handbook);
  • Traffic control;
  • Loading the baggage vehicle (Limit one small bag per runner. Bags should be organized by chronologically bib number, which can be found on the Gear Check Tag that runner's will remove from the bottom of their bib number to identify their bag.);
  • Hang & remove vinyl banners & flags;
  • Barricade set-up and take-down;
  • Picking up discarded items after the race starts.

• You will be helping Marathon Runners make the LEFT turn from Route 3 to Cooksey Drive, heading to Seal Harbor.
• If in doubt, see painted arrows and direct runners accordingly.
  • The Marathon starts at 8:00AM.
  • The first runners will arrive at approximately 8:35AM.
  • Maine State Police will be providing an escort for the lead runner.
  • Runners will be on the LEFT side of the road, running against traffic.
• Please stay in place until the bulk (or all) of the race field has passed. Use your best judgement.
• In addition to directing runners, you will also be helping to keep vehicular traffic slow as needed.

  • The Half-Marathon starts at 8:30AM, just down the road from where you will be stationed.
  • The first Half-Marathon runners will arrive at approximately 8:35AM.
  • Maine State Police will be providing an escort for the lead Half-Marathon runners.
  • The Marathon starts at 8:00AM.
  • The first Marathon runners will arrive at approximately 9:15AM.
  • Maine State Police will also be providing an escort for the lead Marathon runners.

If entering from Seal Harbor, make sure you're at the first one. (There should be a barricade placed there as well, assuming someone unrelated to the race hasn't moved it.)

• You will be helping Marathon Runners make the sharp, hairpin LEFT turn from Cooksey Drive onto the steep downhill of Steamboat Wharf Road, heading to Seal Harbor.
• If in doubt, see painted arrows and direct runners accordingly.
  • The Marathon starts at 8:00AM.
  • The first runners will arrive at approximately 8:40AM.
  • Maine State Police will be providing an escort for the lead runner.
  • Runners will be on the LEFT side of the road, running against traffic.
• Please stay in place until the bulk (or all) of the race field has passed. Use your best judgement.
• In addition to directing runners, you will also be helping to keep vehicular traffic slow as needed.

Description of Volunteer Role:

• You will be helping both Half-Marathon and Marathon Runners navigate the LEFT turn from Route 198 to Butler Road, heading to Somesville.
• Butler Road makes a horseshoe along Route 198. You will be stationed at the SOUTH end where the race enters.
• If in doubt, see painted arrows and direct runners accordingly.
  • The Half-Marathon starts at 8:30AM.
  • The first Half-Marathon runners will arrive at approximately 8:55AM.
  • Maine State Police will be providing an escort for the lead Half-Marathon runners.
  • The Marathon starts at 8:00AM.
  • The first Marathon runners will arrive at approximately 9:35AM.
  • Maine State Police will also be providing an escort for the lead Marathon runners.
  • Runners will be on the LEFT side of the road, running against traffic.

Description of Volunteer Role:

• You will be helping both Half-Marathon and Marathon Runners navigate the LEFT turn from Butler Road to Route 198 / Sounds Drive, heading to Somesville.
• Butler Road makes a horseshoe along Route 198. You will be stationed at the NORTH end where the race exits.
• If in doubt, see painted arrows and direct runners accordingly.
  • The Half-Marathon starts at 8:30AM.
  • The first Half-Marathon runners will arrive at approximately 8:55AM.
  • Maine State Police will be providing an escort for the lead Half-Marathon runners.
  • The Marathon starts at 8:00AM.

• You will be helping to set up finish area in Southwest Harbor.
• Jobs include:
  • Traffic control.
  • Unloading the baggage vehicle.
  • Hanging vinyl banners & flags.
  • Set-up barricades.
  • Helping the Finish Line Teams set-up the finish chute.
• The Start Line Crew will be leaving Bar Harbor with the barricades and flags as quickly as possible after the race starts at 8AM. Please don't be shy about jumping into action and helping the finish line teams unwrap medals if you arrive before the barricades and flags.
• The Marathon and Relay start at 8:00AM, while the Half-Marathon starts at 8:30AM

Description of Volunteer Role:

• You will be helping to set up and manage the Finish Area in Southwest Harbor.
• Please don't be shy about jumping into action if you're the first volunteer to show up! You will be:
  • Unwrapping medals (we need to unwrap as many as possible as quickly as possible!);
  • Awarding medals to finishers;
  • Keeping cups filled with water and Gatorade;
  • Keeping the finish area tidy by picking up any matter left out of place (MOOP) and disposing of it properly.
  • Additionally, folks may ask you where the bag check is, or where the port-a-johns are... both are located near the AREEP Results and Awards Kiosk, in front of Pemetic School.
• The Marathon and Relay start at 8:00AM, while the Half-Marathon starts at 8:30AM
