OVERVIEW

As a company founded and operated by runners, we strive for perfection at every event and greatly understand its importance. When legitimate discrepancies arise, we will always respect the request and do our part to rectify the results. It is important to us that you - the participant - follow the rules as indicated by the event. Below is additional information concerning result discrepancies.

MISSING FROM THE RESULTS

ARE YOU CHECKING THE RESULTS CORRECTLY?

The majority of inquiries we receive relate to claims of being omitted from the results. Those individuals are typically not missing, rather, most commonly one of these two scenarios applies:

  1. You do appear in the results. Please use the Search feature to find yourself by bib number or name.
  2. You do appear in the results but you are looking at results for either a different year or a different race at the event.

YES, I'M SURE I'M NOT IN THE RESULTS

To appear in the results, you must wear the event-supplied timing device (TD), typically referred to as a tag or chip. The TD will have a number on it - that number must match your bib. If you were not wearing the TD in the correct fashion for your event, please note that that is required to appear in the results. If you were wearing a TD with a different number, then some other person who was assigned that number appears in the results with the time you ran.

Timing Device Types

It is also important that you verify you were wearing the correct bib which can be done by checking the bib, which typically has a label/sticker of some kind with your name and some personal data. It is also possible that the bib was mislabeled - and that ultimately the bib you were given has a sticker with your name on it, but that sticker should be on a different bib.

In the event that you had the TD on correctly, then your omission from the results can only fall into two categories:

  1. Your TD did work but your data in the timing software filtered you out (perhaps you registered for the 10K but ran the 5K instead without notifying the event in advance)
  2. Your TD did not work (no time was recorded)

RE: #1 - Per submitting an inquiry

In the case of #1, please be sure to mention this in your inquiry. Do note that some races do not allow changing races - so you may have been disqualified. In other cases, we can make the adjustment and place you in the results of the race you truly ran.

If you believe that your TD simply did not work (#2), in your inquiry, be sure to provide as accurate an estimate as you can of what your GUN TIME (the true time on the finish line clock) showed as you finished. We can review back-up video - so please also include a detailed description of what you were wearing to assist us in finding you.

I'M IN THE RESULTS - BUT WITH THE WRONG TIME

NOTE: Generally your GUN TIME will be 1 second slower than what the clock says due to our adherence to USATF rules of rounding up to the closest second.

WERE THERE START MATS?

First, ensure that the time you believe you ran matches the timing method used. If you did not run over mats at the start, then the race is only utilizing GUN timing such that when the gun (or horn) sounded, the official clock began. If you always start your watch when you cross the start line, your time will therefore be faster (or the same if you started on the line) than your time in the results. If the event had mats at the start AND the results indicate a column called "NET TIME" (or something similar) as well as "GUN TIME" (or something similar), make sure you check the correct column.

If your time is "slightly" (ie. 1-2 seconds) different than what you believe it should be, then it may be a result of your reaction to the race starting or something similar to what is mentioned above. It is possible for an error to be made on our part that would cause this (setting the wrong offset for when the race began) but such an error would cause all of the times to be off by a universal amount and not just affect one individual. An incorrect offset on our part would be brought to our attention immediately at the event and hopefully, barring a lack of individuals checking the results on-site, would be corrected immediately at the event and never posted online.

MY TIME IS WAY OFF!

It is possible that your time may be "considerably" off from what you believe it should be yet you still appear in the results. We once received an email from a participant exactly to that effect. What he failed to mention was that his TD fell off during the race and that someone else picked it up and finished with it. Knowing that information up front would have aided diagnosing the cause, but eventually we did. If you appear in the results, it is because your TD was read by our timing equipment at the finish line. This means that your TD either 'truly' crossed the finish line OR was brought significantly close enough to the finish area timing equipment that it still registered a read.

If your time is significantly incorrect, then somehow your TD was read - but not when you physically crossed the line. While this happens rarely, we do see it on occasion when members of the same family/group errantly wear the bib of someone else from that group. This can also be caused by mis-labeling of the bibs and some other more rare scenarios. These situations are usually less benign than simply not appearing in the results because it often affects both you and whomever had the TD you were supposed to have - which can affect age group results/division placing, etc.

SITUATIONS

AREEP first entered timing in 2003 and has been a full-time business since 2008, timing nearly 1,500 races in the decade since. As such, we have seen a variety of unique situations and inquiries over the years. We've had participants request "time back" for time spent in a porto-potty along the way, time stopped for other random reasons (my bib fell off and I had to go back and retrieve it), and also demand the disqualification of other participants. If you do feel that another participant obstructed your path or in some way affected your performance, please bring this up with the event organizers (race director) as we (the timers of the event) do not make decisions on disqualifications.

BUT MY GPS SAYS...

The results show the time it took you to cover the entire course. Just about every inquiry we receive regarding someone making a claim related to their GPS watch is either an issue with the race distance or their time. GPS watches are not extremely highly accurate devices - they are good, but not great. If you strongly feel that the course was way off in distance, contact the event directly. If your time is different, first make sure that you are viewing elapsed time and not moving time. Also, if you stopped to use the bathroom during the event, did you stop your watch? Nearly all inquiries for which someone refers to their GPS watch results in them 'remembering' doing something that explains the discrepancy.

SPELLING / GENERAL DATA MISTAKES

When registering online, please truly review the confirmation page to ensure the spelling of your name, address, correct birthday, gender, etc. If registering by handwriting your information, please make a concerted effort to write legibly. If you need your data corrected, submit an inquiry and we will address it.

BIB TRANSFERS - Running as Someone Else

If you request that we change your name from "Jesica Smith" to "Jessica Smith", we will gladly do so. If you request that "Jesica Smith" become "Pam Jones" with a different age and city, it sounds more like you ran with your friends bib than a minor typo. We will not make these changes and per contact with the race director may remove the data from the results. For registration transfer policies, contact the event prior to race day. For those that do allow transfers, this generally must occur in advance of race day via the online registration system or at the solutions table at packet pick-up.

IN CONCLUSION

We do our best to ensure that everything is as close to perfect as possible the first time out and we also ask that you do the same when registering (make sure you type in your information correctly/write legibly when handwriting). In addition, make sure your TD is worn correctly and we'll take care of the rest. If the results don't list you as you believe they should, click the button below and let us know.
